Managing Your Add Health Contract in the CMS

To begin any of the steps below, first log in to the Contracts Management System and select your contract.

Adding Users

Under new Add Health protocols, only Data Users and Collaborators need to be added to a contract. For more information on Data Users and Collaborators, please see Restricted-Use Contracts.

New or Renewed SRW or Home Institution Contract

Click the Users tab, then click the green Invite User button, and enter the user’s information. You’ll need to do this once per new user.

Each new user will then receive an email invitation to log in and complete the required tasks specified under Application Process before access can be granted. The system will walk them through everything.

When adding a Collaborator to an SRW Contract, make sure to check No under Is SRW Access Required For This User?. This will ensure that they do not have to go through the additional step of obtaining UNC Affiliate status.

Renewal from a Legacy Contract

The process to add users to a Legacy contract that has been renewed to either the SRW or Home Institution is the same as above, with one exception. The only approved users that are carried over from a Legacy renewal are those who have an email address already in our system. All other users will need to be added back to the contract.

Selecting a Contract Administrator

The PI may select any user on their contract to serve as their administrator. The Admin is the only other person on the contract authorized to invite new users, remove current users, request or remove SRW access (for SRW contracts only), initiate a request for Special Request data sets, and renew a contract. Each contract may only have one Admin.

To assign an Admin, the PI should go to the Users tab and click Edit next to the user. In the window that appears, check Yes next to Is PI Designated Admin?, and then click Submit.

Downloading a Copy of your Contract

On the Overview page, scroll down and select AH Data Use Agreement. The window that appears will give you the date and time that the fully executed contract was uploaded to the CMS, along with a link to download a copy.

Requesting Special Request Data

Click the Special Request Datasets tab and click the Request Access button for the desired data set. In the window that appears, select the current contract user for whom access is being requested, and click Submit.

Return to the Overview tab, scroll down and click the link for the requested data set. In the window that appears, download the required form and complete it.

For all data sets on an SRW Contract, return to this same window and upload the completed form.

For Home Institution Contracts, the only Special Request data set is the dbGaP Linkage File. Details about the application process for that file can be found on Using Add Health OMICS and Restricted-Use Data.
